Privacy Notice to Candidates & Research Participants

This Privacy Notice describes how AM Digital Designs collects, uses, stores, and protects personal data submitted by job applicants, freelance design candidates, and prospective UX research panel participants.

1. Information We Collect

To evaluate career applications or screen candidates for research cohorts, we collect the following information:

• Job & Contractor Applicants: Full name, email address, phone number, physical address, employment history, resumes, cover letters, and portfolio links.
• Research Panel Candidates: Demographic data (e.g., age range, industry, occupation), device specifications, software usage habits, and screening questionnaire responses required to match participants with specific client study requirements.

2. How We Use Candidate Data

We process candidate data strictly for legitimate operational purposes:

• Evaluating professional qualifications for open studio roles or freelance design sprints.
• Matching research candidates with appropriate target user demographics for client UX studies.
• Scheduling interview sessions, prototype evaluations, and processing participant stipends or compensation.

3. Data Protection, Anonymization & Third-Party Sharing

We implement strict data safeguards for candidate information:

• No Commercial Sale: We do not sell, rent, or trade applicant or participant contact details to third-party data brokers or marketing firms.
• Client Research Reporting: When presenting UX findings to B2B clients, participant data is anonymized. Raw contact details (such as your full name or personal email) are decoupled from research findings unless explicit prior consent is granted.
• Secure Storage: Applicant data is stored in encrypted databases accessible only to authorized studio recruiters and lead researchers via Multi-Factor Authentication (MFA).

4. Data Retention & Your Rights

Candidate resumes and research panel profiles are retained for up to twenty-four (24) months to consider you for future studio roles or relevant testing cohorts. You retain full control over your personal data and may exercise the following rights at any time:

• Request access to the personal information we hold about you.
• Request corrections to inaccurate candidate profiles.
• Request the permanent deletion of your resume, application history, or research panel profile ("Right to be Forgotten").
